Booking & Payment

How do I book a tour?

You can book directly on our website through the tour page you're interested in, or contact us by email or WhatsApp if you'd like a custom itinerary. We confirm availability and price within a few hours, every day of the year.

Can I organize a private tour?

Yes. A private tour reserves the guide and vehicle exclusively for your group, with full flexibility on timing and stops. Because you're not sharing the cost with other travellers, private tours are priced per group rather than per person — contact us with your group size and preferred dates for a quote.

Can I pay on the day of the tour?

In some cases yes, but it is harder for your guide to process card payments in the field, so we recommend booking and paying in advance whenever possible to guarantee your spot.

Do you take commissions from the wineries or businesses you visit?

No. This is one of our core principles: we never receive commissions or payments for bringing guests to a winery or producer. We work only with small, family-run estates we know personally, not wine merchants or large-scale producers built for bus groups.

Cancellations & Refunds

The policy depends on the type of experience you book — here is exactly how it works for each.
What is the cancellation policy for private or customised tours?

For private and customised tours: full refund if cancelled at least 15 days before the experience (minus a 10% booking management fee, which we retain in every case to cover administration costs). Between 14 and 8 days before departure, you receive a 50% refund, again minus the 10% booking management fee. From 7 days before departure onward, no refund applies. No-shows are charged in full.

What is the cancellation policy for shared or semi-private experiences?

For shared and semi-private tours, full refund is available up to 48 hours before departure. Between 48 and 24 hours before, you receive a 50% refund. Inside 24 hours, no refund applies.

What happens if the tour is cancelled due to weather?

Tours go ahead in most weather — there's no bad weather, just bad preparation, so come dressed for it. A tour is only cancelled or interrupted if government authorities issue a severe weather alert for the area. In that case, we'll rebook or refund you.

Private Driver Services

How is a private driver different from a guided tour?

A private driver (NCC — Noleggio Con Conducente) is licensed to drive and transport you, not to guide you as a licensed tour guide would at a specific site. For day tours and excursions, our driver-guides share local knowledge along the way. Are your drivers licensed?

Yes. All private driver services are operated by fully licensed NCC drivers, with commercial passenger transport insurance on every vehicle.

Group Tours: What to Expect

Can children under 12 participate?

Some of our tours involve walking that isn't well suited to younger children, so under-12s aren't accepted on every experience. Exceptions are considered case by case — contact us before booking if you're travelling with young children, and we'll tell you honestly whether a tour is a good fit or suggest a better alternative.

How physically demanding are the hikes?

Our guides have years of field experience and design each route to be manageable for a reasonably fit adult, not a competitive athlete. That said, you should be in good general health to keep pace with the group across a full day outdoors.

What if I can't keep up with the group?

Please let your guide know at the start of the day if you have any walking limitations. Even though our support vehicle stays close by on most routes, some sections of the trail can only be reached on foot, so it's important to flag any concerns before the tour begins rather than partway through.

What documents do I need?

Just the e-voucher sent to you when you book — you don't need to print it. If you haven't received it, email info@outoftheboxflorence.com.

Can vegan or vegetarian diets be accommodated?

Yes, and you're very welcome. Your guide will check your dietary preferences on the day, but do let us know in advance if you have a specific requirement so we can plan ahead with the wineries or restaurants involved.

What should I wear and bring?

Comfortable closed shoes are best, along with whatever you'd normally bring on a countryside walk: a hat, sunscreen, and insect repellent in warmer months. Bring your own water and sunscreen, since these aren't always available along the route.

Is Out of the Box Florence a licensed tour operator?

Yes. We are a fully licensed travel agency (P.IVA 06155900480), registered with the Comune di Firenze under SCIA N° 9701/2020/SUAP (dated 29/09/2020). Our private driver services operate under full NCC licensing with commercial passenger insurance.

Are you a big tour company?

No, and that's deliberate. We're a small, locally-owned team running private and semi-private experiences — not a bus operator. Group sizes stay small across our tours, we work directly with family-run wineries and producers, and we don't take commissions from anyone we visit.
